Finance: accounts payable and cash flow
Finance is private: only people given Finance access see it (Finance → Who has access; someone who already has access can give or remove it). It is separate from Accounts, which the office uses for student invoices and payments. Accounts payable lists what the college owes, by due month: add a one-off bill (a contractor's invoice, a supplier), or a monthly recurring payment (salaries, rent, subscriptions) — each recurring payment puts a bill on the list for every month, three months ahead. Mark a bill paid with the date and amount when the money goes out; void one that is no longer owed. Changing a recurring payment's amount updates its unpaid months from today on; stopping it cancels the upcoming unpaid months and keeps the paid ones. Cash flow shows, for each month, money in (student payments received, net of refunds — the same figure as Accounts → Received), money out (bills paid, by date paid) and the net; this month and the months ahead include what is still expected in and out, and anything overdue either way is counted in the current month.
